Document Stamping
Document Stamping Overview
Document Stamping, a new LexWorkplace feature as of this release, allows you to have certain information automatically “stamped” (added) to the footer of Microsoft Word documents. When enabled, this stamping happens automatically (no user action is required).
The following Document properties can be stamped to the footer by way of Document Stamping.
Document ID *
Matter ID
Matter Name
Document Type
Document Status
Document Tags
Enabling Document Stamping
Document Stamping is turned off by default. Any Firm Admin within your firm can enable Document Stamping:
Navigate to Settings > Document Management (Header) > Document Stamping
Here you can enable Document Stamping on any or multiple of LexWorkplace’s three libraries: Matter Documents, Public Firm Documents, and Private Firm Documents.
Configuring Document Stamping
From this same Settings page, you can also configure what elements (document properties) will appear in the stamp (footer) of each document.
Under Included in Document Stamp (Word Footer), click the toggle to enable each element that you wish to be stamped in each Word document. As you add/remove stamp elements, you’ll see a Document Stamp Preview illustrating what the stamp will look like based on your current selection.
How Document Stamping Works
When Documents are Stamped
Once Document Stamping is enabled and configured, Microsoft Word documents will automatically be stamped (the footer updated) as documents are opened by users (the system will not automatically back-fill all Word documents you have saved to LexWorkplace).
The document will be stamped for the first time after a user opens the Word add-in sidebar once. That is to say: For the document to be stamped for the very first time (after enabling Document Stamping for your firm, for that library), a user in your firm (any user) must open that Word document, then open the add-in sidebar (via the Word ribbon) once. After this, the stamp will be automatically updated (if the elements of the stamp have changed) each time the document is opened, whether or not the add-in sidebar has been opened.
When the Document Stamp Changes
The stamp’s contents generally won’t change, though there are circumstances when it may:
If a Firm Admin changes which elements (document properties) are to appear in document stamps (Settings).
If the value of an included element changes, such as Document Type, Status and Tags.
You will see these changes reflected in a document’s stamp upon opening the document.
Remove Document Stamp
You can remove the Document Stamp from a document any time from within LexWorkplace for Microsoft Word (the Word add-in). You can do this in the Word add-in sidebar by clicking:
The three-dot menu > Remove Document Stamp
Mark a Document as Do-Not-Stamp
If you’d like to permanently exclude a document from stamping (when its Library, such as Matter Documents, is set to enable Document Stamping), you can do this via the following steps:
Open the Properties screen for any Document in LexWorkplace
Below the Internal Notes field, you’ll see a toggle switch labeled Do Not Stamp This Document
Click to enable the toggle. When enabled (when the toggle is blue), this document will be excluded from stamping.
