Permissions and Group Management in LexWorkplace
You can configure access rights/security for Matters and Firm Documents. This guide will walk you through the default security settings in LexWorkplace, how to create and manage groups, and how to edit permissions at both individual and bulk levels.
Default Permissions
Matters and Firm Documents have default permissions, which can be changed by Firm Admins.

Matters | New matters are accessible to all LexWorkplace users in your firm, by default. |
Public Firm Documents | Public Firm Documents are open to the entire firm. For more details, refer to Firm Documents 101. |

How to Create and Manage Groups
Grouping users into permission groups allows for more structured access control.
Steps to Create a New Group
Navigate to Settings > Edit Permission Groups.
2. Click New Group on the top right.
Enter a name for the group and add members.
4. Click Create Group to save the new group.
Note:
Firm Admins will always have access to all Matters.
How to Edit an Exiting Group
Navigate to Settings > Edit Permission Groups.
Select the group you want to modify.
3. Change the name, add, or remove users as needed.
4. Click Update Group to confirm changes.
How to Edit Matter Permissions (Matter-by-Matter)
Steps to Edit Matter Permissions:
1. Open the matter you want to modify.
2. Click Edit in the top right corner.
3. From the dropdown menu, select Edit Matter Permissions.
4. Choose from the following options:
Keep the matter accessible to all users (default setting).
Restrict access to specific users or permission groups.
Click Update Matter to save changes. Users without access will no longer see the matter.
How to Bulk Edit Matter Permissions
For firms needing to update permissions for multiple matters at once, LexWorkplace provides a bulk editing feature.
Steps to Edit permissions on Multiple Matters at once:
1. Navigate to the Matters section.
Filter the matters based on whatever criteria you would like to edit them in bulk by. For example, a specific tag, office/branch, matter type or client name.
Quick Tip
You can also bulk edit matters by clients, by going to the client tab, selecting the client, and selecting actions from there.
3. Select Actions on the top right corner.
3. Click on Bulk Edit Permissions.
4. Assign permissions to specific users or groups.
Type Confirm in the box to acknowledge the matters selected will have their permission’s changed.
Click Apply, and the filtered matters will have those permission settings changed.
Warning: Assigned Staff
A user who is assigned to a matter does not automatically get access to the matter. (Assigning a matter to a specific user simply puts this matter in that user’s “My Open Matters” list.)
If they do not have permissions but are assigned staff, they will not be able to see the matter or any of the information inside.
